As of today (21st June) we have 23 outstanding Booking Forms and 22 outstanding Payments (Payments made in the last 7 days have yet to be processed by us - and a Comfirmation Form will be sent to you soon). All outstanding requests will be cancelled on 28th June.
It is important that everyone entering the event site with a vehicle is aware of the very tight safety rules that are imposed in order to obtain a certificate of approval from the authorities before the event can proceed.
For example, site access opens at 7:30 am. All successful stallholders and owners of attractions should be on the event field by 10am and, once sited, should remain static on the field until at least 5pm. This is to reduce the amount of vehicular movements during the event. Any vehicle arriving after 10am will not be allowed onto the event field and thus will be turned away. Any vehicle needing to leave the event field (at any time) will be escorted by at least two security staff.
Also, each stallholder will be allowed one vehicle (and trailer) to be static with their stall. If your stall is transported in multiple vehicles, please ensure you arrive with ample time to unload and remove any additional vehicles to the main parking area (on the Meden School side of the river) - before 10am.
We have a duty to prevent under-aged persons from gaining access to alcohol while on-site. Therefore, please do not offer alcohol as prizes or sell alcohol from your stall.
We do not allow members of the public to bring glass onto the site. Therefore, please do not offer any refreshments or consumables in glass bottles/containers as prizes (or for sale) from your stall.
We may be able to make improvements year on year, but we are always at the mercy of the weather. Carnival 2022, for example, was a very hot day. Although the event is staged during mid-summer and we will always aim to run the event, with our 'Great British Weather', the event could still be affected by adverse conditions either on the day, or during the days leading up to the event.
We have seen times when the event was cancelled just hours before its opening because of a water-logged field - even though the event day was warm and sunny. We hope that the sun will shine and everyone has a wonderful day - but please note that sometimes, a decision to go ahead or to cancel can still be made - even on the day before.
All stallholders must agree to keep their area (pitch and immediate areas surrounding) free from litter and to clean their area at the end of the carnival.
Stallholders are responsible for providing their own equipment (tables/chairs/shelters etc) and power/water facilities.
It is the responsibility of stallholders (not the Warsop Carnival Committee) to ensure that they are covered by public liability insurance which complies with health, safety and hygiene laws where applicable.
By returning the signed form, you agree to Warsop Carnival storing your contact details for future use.
Admittance to the site will only be given to vehicles displaying valid parking permits complete with registration number. (Please ensure that the registration number(s) for the vehicle(s) you intend to use on the day is/are written on the appropriate section of the form).
Only 1 vehicle per pitch will be allowed to remain on site during the carnival; however additional vehicles may enter and leave the site before 10am to assist with loading/unloading and then must be parked in the main car park (on the Meden School side of the river) until the end of the event.
All generators must be earthed and fitted with RCD. LPG must be stored securely and not inside the trailer (an external cupboard in the trailer, if vented, is acceptable) A valid Gas Safe certificate for the LPG appliances must be produced.
Risk Assessments must be available on request at the site.
Gates will open from 7am on the day of the carnival and will be closed from 10am until 4pm.
Specific plots are not reserved and we operate a first come first served principle, stall holders will choose their own location within the designated stall area(s).
Stallholders are advised to arrive early to ensure best choice of available pitches.
All stallholders must be on site before 10:00am on the day of the carnival and cannot leave before 5pm.
Any vehicles arriving after 10am will not be allowed onto the field.
There are two methods of payment available: By Bank Transfer (BACS) or by Cheque. Cheques should be made payable to Warsop Carnival Charity Shop. Once payment has been received, we will be able to confirm your booking.
Prices relate to single pitches with approximate frontage of 17 feet (5 meters).
For a full refund, you must cancel your stall at least 28 days prior to the event by email to: warsopcarnival@yahoo.co.uk.
The Warsop Carnival Committee reserve the right to eject any stallholder not complying with these terms and conditions. This could result in a stall being prevented from trading and held on the event field until 5pm due to vehicle movement restrictions.
